(Direct Hire) Exquisite Executive Assistant Role with Sensational Foundation!

Our client is a dynamic foundation providing expertise in health education, counseling, and clinical services.  With having continuous improvements with their outreach initiatives, they are working to increase access to family planning through partners in family planning clinics, federally funded and rural health care centers, nursing schools, hospitals and collaborating with other community outreach programs. They continue to use comprehensive workshops, training and seminars to be at the forefront of their industry, which will allow them to continue their path of growth and stability.

This senior level professional will perform a variety of high level executive and financial support functions, some of which are confidential and sensitive in nature.
  • Spends each day forwarding thinking for executive team members – calendaring, setting meetings in advance, notifying executive team members of conflicts in their scheduling, convening large groups through telephone, e-mail and other correspondence.
  • Takes the initiative to edit, proof and draft development letters, agendas and assists with ensuring contracts and grants have the necessary components to continue in forward motion.
  • Plans, coordinates and ensures the Vice President’s schedule is followed and respected.
  • Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Vice President's time and office.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Vice President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Responds to requests for materials regarding the Vice President and the programs in general.
  • Edits and completes first drafts for written communications to external stakeholders.
  • Participates as a member of the management team including: assisting in scheduling meetings; attending all meetings; coordinating the agenda; and facilitates cross-divisional coordination of activities and plans.
  • Assists senior management with travel arrangements and lodging as needed.
  • Communicates directly, and on behalf of the Vice President, with Board members, Foundation staff, and others, on matters related to programmatic initiatives.
  • Collects and submits receipts, forms, etc. as required by NMF Financial Policies and Procedures Manual and/or Chief Financial Officer.
  • Fundraising - Contributes to reports and overall relationship with funders;
  • Must have a thorough understanding of basic grammar principles.
  • Proficient in Microsoft Office, excellent organizational and communication skills (written and verbal), ability to multi-task and manage competing interests through the skills of diplomacy and prioritization.
  • Minimum of 5 years of administrative experience supporting management-level/C-Level Executive demands.
  • Bachelor’s degree preferred.
  • Must be goal and success oriented.
  • Able to work without supervision.
  • Ability to occasionally travel in state (5%).
