Job Description
Position Summary & Expected Results – This position is responsible to provide skillful, adept support and general administration for the executives of the company.  The Executive Assistant will enhance executives’ effectiveness and productivity by providing organization, coordination, insights and follow-up to complete goals and projects.  This is a visible position within the organization and requires professionalism, confidentiality, discernment, self-motivation and a positive demeanor even in the midst of change.  On occasion, this position needs to travel (by car or by plane) and work overtime, and sometimes irregular hours. 
 
Essential Duties & Responsibilities include the following.  (Other duties may be assigned.)
  • Manage calendars and schedule appointments and conference calls for President & CEO, CFO, VP of Sales & Marketing, and EVP of Strategic Planning and Program Management
  • Answer, screen, and direct all incoming calls, handling issues properly, and transferring or relaying messages internally or externally
  • Prepare, coordinate and adjust travel arrangements and itineraries including car rentals, hotel reservations, airline tickets, and other items as needed
  • Liaise with other departments to coordinate
  • Effectively prepare and edit presentation materials, using templates, layouts and formatting to create effective, impactful and appropriate content. 
  • Compose and prepare correspondence including letters and email; review grammar and spelling
  • Reconcile monthly credit card statements, and prepare expense reports timely
  • Manage conferences, special events and other corporate functions in a logical, thoughtful manner
  • Interacts with various members and levels of the organization in coordinating critical activities to accomplish tasks
  • Manage all incoming visitors at the front desk
  • Manage time effectively to meet and exceed deadlines to ensure availability for additional projects
  • Handle confidential information with the utmost discretion
 
Requirements & Qualifications
 
Education: 
  • Bachelor’s Degree in Business or closely related field.  In lieu of a degree, the company reserves the right to consider a comparable level of education and experience.
 
Experience: 
  • At least seven years’ experience in a similar role supporting multiple executives
    • Prefer experience in a law firm, financial services firm or other professional environment
  • Proficient in Microsoft Office Suite software including but not limited to Outlook, Word, Excel, and PowerPoint.
  • Prior experience planning and executing special events, managing various vendors to include caterers, venues, support staff, etc.
